Job Summary/Objective:

  • The Content Management Associate works directly in each step in the course development process, from conception to completion. Under the supervision of the Content Manager, and in partnership with other members of the Publications Department, the Content Management Associate assists in all course development tasks. Tasks include, but are not limited to, working with Subject Matter Experts (SMEs) to develop new or update existing courseware; editing, formatting, organizing, uploading, updating and retiring of content; distributing all materials for in-person and virtual sessions; and handling of all printed materials and shipments, while keeping track of shipping, delivery, and invoices.

Technical Responsibilities:

  • Supports Business Development team on new opportunities in accordance with bandwidth and achievability.
  • Interacts with SMEs using decision making skills to create timeframes and deadlines and allowed hours, firming up development details in accordance with contractual requirements.
  • Has the ability to conduct scoping and needs assessment for new course requests.
  • Supports course customization work in accordance with agency contract requirements.
  • Adheres to overall storage standards and alignment of version control.
  • Assists in managing SME writers, editors, and content contributors; be an example of best practices in grammar, messaging, writing, and style.
  • Uses judgment around timeframes to print and ship hard copies of orders as requested or as required by contract. send orders.
  • Tracks and communicates status of materials and shipments to multiple parties, such as the client, instructor, and team members, simultaneously.
  • Reviews  course schedule independently to create weekly send-out report for disseminating courseware to instructors. Deliver company course content on time, in the proper format, and according to contractual requirements.
  • Reviews, manages, and executes tasks as assigned by management.
  • Ensures content is on-brand; consistent in terms of style, quality, and tone of voice; and optimized for user experience for both print and digital platforms. Adheres to style guide policies.
  • Adheres to copyright restrictions and 508 compliance regulations.
  • Supports standards, systems, and best practices (both human and technological) for content creation, distribution, maintenance, retrieval, and repurposing, including the real-time implementation of content strategies.
  • Collaborates and coordinates with internal and external stakeholder groups, including interdepartmental team members, government clients, industry partners, SMEs, instructors, and students.
  • Reinforces and supports the workflow for requesting, creating, editing, publishing, and retiring content.

Soft Skills Responsibilities:

  • Uses Instant Message sparingly and knows Teams is only appropriate for yes or no questions and is not a substitute for communication.
  • Demonstrates good phone etiquette. If a staff member needs to reach someone, they will call the same day, leave a voice mail if the person is unavailable, and email contact regarding phone call and explain the issue at hand.
  • Demonstrates professionalism when hiring and vetting of all Subject Matter Experts (SMEs).
  • Builds rapport and possesses ability to Interact professionally with developers.
  • Seeks how best to delegate department communication at all times. All department calls are answered, all associate calls are answered and calls not answered are called back the same day, and all calls from internal and exterior stakeholders are acknowledged the same day.
  • Will be adaptable and open to feedback from internal and external stakeholders.
  • Arrives prepared for meetings by reviewing material ahead of time and comes prepared to ask questions.
  • Supportive of open-door policy and in-person meetings, pro-culture, pro humanity, and face-to-face eye contact in meetings. Understands importance of undivided attention by ensuring a “no-phone” policy during meetings.
  • Treats colleagues with courtesy. After a conversation concludes, act upon what was discussed and documented in email, department Teams chat, or Salesforce. Encourage the mantra “You do what you say you will do.”

  • Recommended, but not required, experience with Adobe Connect and Salesforce.
  • Knowledge of 508 Compliance is a plus.

Required Education:

• Bachelor’s Degree in a relevant field (English, Communications, Editing, Publishing, Journalism, Technical Writing, etc.)
