Board Secretariat/Configuration Management Specialist - IMOC

Primary responsibilities include scheduling meetings, organizing agendas, writing minutes, tracking actions, and posting data to meeting Web sites. This role is part of the FOD Configuration and Data Management Team (CDM) and will also support change management tasks, as assigned.
Support Plan-Train-Fly functions for the CK3 Exploration team and customers. Plan, coordinate, and complete assigned secretariat and administrative tasks independently with minimal guidance or supervision. Perform analysis of information processes and maintain tracking systems to assure efficiencies and timely retrieval of metrics and data. Ensure adherence to supported organizational standards and specifications for maintaining technical documentation using provided electronic resources. Knowledge of NASA documentation standards is necessary.
ESSENTIAL FUNCTIONS: Board Secretariat/Configuration Management Specialist
• Serve as the board secretariat for FOD-managed control board(s) and panels, including but not limited to:
o Provide meeting support and update logs, agendas, calendars, Web sites, and electronic repositories. Have knowledge of a variety of teleconference tools and audio/visual aids (computer, teleconference, projection screens, etc.). Provide logistics support, including setup of the same.
o Prepare for and provide real-time meeting support to
§ FOD Exploration Control Board (ExCB) and associated meetings
§ Exploration Systems Directorate (ESD) Flight Techniques Panel and associated meetings
§ FOD Exploration Integration meeting
• Manage board data, communication (including board mailbox), processes, tools, and accesses.
• Provide support for formal project reviews and Planning, Programming, Budgeting, and Execution (PPBE) development, as required.
• Perform configuration management of NASA data, data requests, technical meeting actions, decisions, and protocols with JSC and Exploration teammates, as required.
• Maintain roster of FOD personnel cleared to support HLS Program and other tasks.
OTHER DUTIES & RESPONSIBILITIES
• Support the JSC-FOD-EXP-CM-Receipt-Desk activities, as required.
• Perform CDM, records management, and change integration for FOD Exploration support to Orion, Gateway, and Human Landing System (HLS), and other Programs. Tasks include, but are not limited to:
o Implement internal and external change management.
o Provide configuration, data, and records management of data/documents owned by FOD to accomplish developing program initiatives within FOD.
o Coordinate FOD review and implementation of requirements/data using existing tools and processes, where feasible, and develop new capabilities, if necessary, to ensure integration with FOD initiatives.
o Coordinate with appropriate Program-level/customer organizations regarding the content and format of CDM initiatives prior to development.
• Back up team members in support of a fully cooperative team environment.
• Maintain proficiency in document publishing systems, processes, and desktop applications.
• Maintain accurate and current work instructions for tasks.
• Safely perform all tasks and provide communication of all activities, planned and completed. Support IMOC II administrative requests and initiatives. Complete training activities required for assigned job duties and complete assigned administrative tasks. Accurately complete timecards, activity reports, CK Top-5 entries, and participate in staff meetings, as required. Participate in safety activities and maintain a safe working environment.
REQUIREMENTS:
Education: bachelor’s degree in a related field or equivalent experience.
Experience: 4+ years related experince.
Required software skills: Microsoft Office (daily use of Word, Excel, Teams), Adobe Acrobat
Desired software skills: Confluence Wiki, SharePoint
