Program Coordinator

IPI is seeking a program coordinator to work in its Center for Peace Operations and its Women, Peace, and Security program.
Responsibilities will involve operational, project management, and administrative duties for IPI’s Brian Urquhart Center for Peace Operations (CPO) and the Women, Peace, and Security program (WPS). The Program Coordinator’s time is expected to be split evenly between CPO and WPS, under the overall supervision of IPI’s Director of Research. Approximately 80% of the program coordinator’s time will be spent on project management and 20% on research support.

Responsibilities:
Tasks and responsibilities include a range of project management and support duties, including but not limited to:
·        Support the planning and implementation of annual work plans for CPO and WPS, including tracking projects, deadlines, activities, and research outcomes.
·        Support regular communication between the CPO and WPS teams with IPI’s Events, Communications, Resource Development, and Finance and Administration teams.
·        Assist in preparing and monitoring project-related budgets, fundraising proposals, and donor reports, in coordination with and IPI’s Finance and Administration and Resource Development teams.
·        Support and maintain Program-wide impact tracking processes and monitoring and evaluation systems.
·        Assist CPO and WPS Program Staff in organizing program-related meetings, workshops, and conferences, including coordinating dates, monitoring invitations and RSVPs, supporting logistical preparations, in collaboration with IPI’s Events Team.
·        Assist with necessary logistical and administrative tasks for staff and consultant field research, such as ordering airfare tickets, booking hotels, requesting cash advances, and compiling expense reports.
·        Support CPO and WPS in executing dissemination, communications, and social media-related tasks, in collaboration with IPI’s Communications team.
·        Prepare terms of references documents and contracts for consultants, in coordination with IPI’s Finance and Administration Team.
·        On a daily basis, execute program-wide administrative tasks such as program-related correspondence, preparation of meeting agendas and minutes, and tracking and filing of all departmental documentation.
·        Support partnerships with other institutions with an emphasis on relationships with institutions across different regions.
·        Perform other tasks as assigned by supervisor.

Qualifications:
·        Bachelor’s degree required in International or Public Affairs, Political or Social Science, or related field. While a master’s degree is an asset, individuals with no graduate degree that have additional years of work experience will also be considered.
·        Minimum 2 years (with a master’s degree) or 3-4 years (with no master’s degree) of relevant professional experience, including in an office setting, preferably with an international or regional organization.
·        Demonstrated experience in project management, with strong organizational skills, including the ability to be detail-oriented, manage multiple assignments simultaneously, and work in a fast-paced environment.
·        Experience in monitoring and evaluation an asset.
·        Professional sensitivity to working in a multicultural environment.
·        Excellent computer skills with Microsoft Suite required, experience with Salesforce and Adobe Suite beneficial.
·        English fluency required, French proficiency an advantage.
·        Must be able to work from IPI’s Manhattan office multiple days a week. IPI currently operates in an office-centric hybrid model.

Compensation:
·        IPI offers a competitive salary, based on experience ($57,000 to $62,000).
