Development Associate

Provide administrative and program support for the office of the Senior Associate Vice President for Advancement. Manage and maintain various leadership calendars. Schedule and reschedule meetings using critical thinking, sensitivity, strategy, and thoroughness. Provide meeting materials as necessary and confirm logistical arrangements when appropriate. Prepare first-drafts of presentations, letter, memos, and replies to communications upon request. Assist with hiring initiatives and on-boarding processes. Generate, organize, and distribute weekly, monthly, and annual reports. Schedule travel, including flight and hotel arrangements. Process travel and other reimbursement. Distribute mail daily. Maintain relationships within the division and broader University to ensure maximum efficiency when scheduling and executing. General office responsibilities and other duties as assigned. This position has an opportunity to be hybrid after successful onboarding.
Required Qualifications
- Demonstrated administrative office experience in an academic or professional office setting.
- Demonstrated skills with proficiency using software such as Microsoft Office Suite, specifically Outlook and Excel.
- Demonstrated experience making travel arrangements, preparing travel reimbursements and preparing itineraries.
- Demonstrated ability to maintain accuracy and attention to detail while performing multiple responsibilities.
- Demonstrated ability to be self-directed and take ownership of the position.
- Demonstrated ability to handle multiple tasks and meet deadlines.
- Possess strong professional interpersonal skills for positive external communications and interactions.
- Possess strong organizational skills and ability to handle multiple projects in priority order.
- Possess strong basic math skills.
Preferred Qualifications
- Bachelor’s degree or a combination of training and experience equal to a related Bachelor’s degree.
- Prior experience in higher education.
- Experience with relational databases.
- Display good judgment and diplomacy skills in working with various levels of both internal and external clients providing excellent customer service via telephone or in person.
- Ability to extract, analyze, and segment data according to specific criteria.
- Ability to write professional correspondence using correct grammar without the use of a template.
