Project Assistant

Bean Group Global (BGG) is a women-owned small business (WOSB) specializing in learning and leadership development for local and international organizations. BGG designs context-specific scenario-based learning programs to simulate management challenges that require agile problem solving and critical thinking - skills essential for sustainability and organizational viability. Our programs provide opportunities to practice new leadership approaches, supported by professional coaching, peer feedback and training.

We are currently seeking a Project Assistant to provide part-time writing and administrative support for various projects and training programs conducted domestically and internationally. We are looking for someone who is highly organized, detail-oriented, proactive, and can provide support in coordinating multiple projects simultaneously. At BGG, you will have the opportunity to gain hands-on industry experience while learning from experts in the international development field.

Summary of Key Responsibilities 
Position Title: Project Assistant 

The Project assistant must be able to work between 20-30 hours per week . This position is flexible, with the option to be entirely remote, in-person, or a mix of both. Our headquarters are located in Easthampton, MA. 

Essential functions include, but are not limited to: 

  • Provide technical and logistical support to project activities, travel and other necessary preparations for professional and organizational development facilitation, and multi-sectoral events of differing scales. 
  • Schedule and prepare for team meetings, develop after action review reports, meeting notes, and other materials including evaluation forms, and technical documents. 
  • Contribute to new business development practices: search for new opportunities; track business forecasts; outreach to BGG’s consultant and partner network
  • Support the development and submission of highly-detailed technical proposals 
  • Create written content, design graphics (on Canva) and manage BGG’s social media accounts on LinkedIn, Instagram, and email newsletter
  • Ensure timely and high-quality reviews and submissions of deliverables during project implementation
  • Support the development of detailed workplans for project implementation
  • Support web-based learning, for example by serving in the role of producer for virtual sessions, sourcing photos, images, videos, and music based on specific criteria, and other related duties as assigned 
  • Contribute to contract implementation, including adherence to contract requirements and government regulations in collaboration with your Supervisor and BGG President
  • Maintain up-to-date participant lists for learning programs, draft communications, draft and send welcome letters, materials and logistics emails, respond to questions, troubleshoot issues with logistics etc. 
  • Provide support to BGG’s other staff in research and knowledge management processes in support of team activities and projects 
  • Attend networking events, industry days, and other professional development opportunities on behalf of BGG
  • Engage fully as a member of the Bean Group Global staff team, including participating in staff meetings and other BGG events, and providing administrative support to other team members as needed 
  • Other duties as assigned 

Position Requirements 
  • At a minimum, pursuing a Bachelor’s degree  
  • Excellent written and oral communication skills are required; additional languages highly desirable
  • Exceptional organizational skills and attention to detail 
  • Ability to organize, manage, prioritize, and follow through on multiple tasks in a fast-paced, deadline-oriented environment 
  • Ability to deal sensitively in multi-cultural environments and build effective working relations with clients and colleagues. 
  • Previous event planning and management experience 
  • Proficiency in Microsoft Office applications, particularly Word, Excel, and PowerPoint, Google Suite etc. 
  • Proven capacity to take initiative and willingness to learn new skills as needed 
  • Strong work ethic and the ability to work well independently and as part of a team
  • Outstanding interpersonal skills and ability to interact with individuals at all levels
