Project Coordinator - (1020)

Western EcoSystems Technology, Inc. (WEST), a dynamic medium size consulting firm with offices in 13 states, is looking for a full-time experienced individual as our new Project Coordinator.

The minimum base salary for this position is $50,000, plus annual bonus. Salary may vary based on education, knowledge and experience.
 
Job Summary:
The successful candidate will have experience supporting a variety of projects from simple to complex activities. The Project Coordinator will support one or more Project Managers (PM) and other WEST staff to keep project-related processes running smoothly. While the Project Coordinator provides support, the PM is ultimately responsible and accountable for the successful delivery of the project outputs. 
 
Responsibilities Include:
The Project Coordinator’s work will include the following:
  • Assist PMs with project set-up, schedule coordination and budget development and provide information to the legal department and accounting staff for internal set-up requirements.
  • Assist in the coordination of activities, resources, equipment, staff, and dissemination of information.
  • Assist PMs with the monitoring of project progress, data, PM reports and other materials as needed.
  • Ensuring client and staff needs are met throughout the life of each project.
  • Provide subcontract management support to Project Manager by creating and maintaining subcontract logs, completing forms, gathering scope of work, following up on process for amendments, and reviewing/coding invoices.
  • Electronic filing (on servers): being consistent and following WEST document management policy/protocol.
  • Support the legal staff and PM to follow up on the administrative process for job set-up, invoicing and accounts receivable collections and prepare monthly progress reports.
  • Possess outstanding organization skills and capacity to handle multiple tasks and projects concurrently.
  • Assist with production of deliverables, printing and binding, document prep assembling and preparing presentations and reports, including internal team communications.
  • Assist with the word processing, formatting and editing of project deliverables, as requested. Following pre-determined Style Guides.
  • Work with distributed teams in multiple locations in United States and Canada using company tools for teleconferencing, and videoconferencing. Will be expected to organize conference calls with project team members, track action items and notes, and facilitate resolution and follow up actions as needed within the project team.
  • Work with the PM to coordinate issues that the Project Coordinator cannot resolve.
  • Provide note-taking and documentation support for meetings and conference calls upon request.
  • Communicate ideas for improving company and project processes with a positive and constructive attitude.
  • Prepare/coordinate project meetings and travel arrangements.
  • Other project related support duties as assigned.

Requirements:
The ideal candidate would have the following:
  • Minimum of a high school diploma, a Bachelor’s degree is preferred,
  • Excellent organizational and prioritization skills including attention to detail, taking and following direction, budget and multitasking abilities,
  • Solid working knowledge of Microsoft Office and other project management tools,
  • Effective communication skills including verbal, written and presentation skills,
  • Proven ability to work effectively both independently and in a team-based environment ,
  • Demonstrated willingness to be flexible and adaptable to changing priorities preferred,
  • Excellent interpersonal and communication skills,
  • Excellent time management, project management and organizational skills with the ability to work well under time constraints and meet deliverable targets and deadlines,
  • Ability to follow instructions from managers and accept guidance and constructive criticism,
  • Occasional travel and overnight stays may be required.
