Associate, Programs - Summer Camps

The Position:

The Associate, Programs will contribute to all aspects of our Headfirst Summer Camps line of business, with primary responsibilities in facility operations, logistics, materials management, and event preparation. In addition, this role includes managing licensing and compliance requirements and supporting the Headfirst Summer Camps management team in maintaining relationships with key vendors and facilities. This mission-driven role is year-round and based at the Washington, D.C. headquarters office of The Headfirst Companies but will also involve travel to our distribution center in Silver Spring, MD and on-site leadership of one our camp locations in the DC-area, in June, July, and August.
 
The ideal Associate, Programs is highly organized, detail-oriented, and is enthusiastic about creatively solving complex problems. This individual will combine the emotional intelligence necessary to excel in mission-driven youth development with the business acumen critical to project planning and leading a complex operational program.


What You'll Do:

January- May:
  • Develop and document operational policies, procedures, camp activities and schedules that optimize facility usage and are responsive to the intricacies of each camp site and program.
  • Build and maintain vendor partnerships for all programming materials.
  • Assist in the management of warehouse inventory including, but not limited to, curriculum materials, equipment and other supplies needed to deliver our programming. Additionally, the Associate will be responsible for the ordering and packing of all camp materials based on operational and budgetary guidelines.
  • Assist in the development of purchasing systems and operating plans to help attain financial goals.
  • Communicate with and manage partner facilities to ensure alignment in pre-camp and event preparation.
  • Review the space allocation for camp programming at each of our partner facilities and ensure continued optimization with current enrollment trends.
  • Ensure all legal, regulatory and licensing documents are filed and monitor compliance.
  • Assist in recruiting, interviewing, and selecting well-qualified program staff to meet summer camps operational hiring needs.
  • Create resources, lead virtual and in-person sessions, and support seasonal team training cycle.
June through August:
  • Collaborate to lead pre-summer training events.
  • Support the mobilization of all camp locations move-in and move-out, including scheduling and securing resources. The Associate will additionally assist in the development of the demobilization plan for each camp location including facility coordination, preparation of materials for pick-up and scheduling personnel.
  • Serve as Site Director for one of Headfirst’s DC-area camp locations with responsibilities that include, but are not limited to:
  • Continuing Headfirst’s relationships with on-site facility partners and vendors, proactively communicating issues to Headquarters as they occur.
  • Informed by your team, you will be the ultimate authority of your site, strategically knowing when to take action while considering any ripple effects.
  • You are the key to a successful summer experience for the campers and staff. You must be available for an 8-10 week summer commitment at your agreed upon camp location in the DC area.
  • Manage on-site program leadership, fostering high standards for camp management, providing day-to-day support and coaching to ensure we meet those standards, and encouraging a culture of ownership.
  • Take on additional responsibilities as identified or requested.
September-December:
  • Assess the recently concluded summer camp season by gathering and organizing operational data regarding facility utilization and program implementation using feedback tools.
  • Identify and recommend operational improvements through continuous assessment and according to best practices.
  • Communicate with partner facilities to ensure alignment in pre-camp and event preparation.
  • Optimize space allocation for camp programming at each of our partner facilities.
  • Establish and implement procedures for material management and delivery for the upcoming season.
  • Assist in creating the schedule of program offerings for the summer ahead.
  • Develop forms and records to operationalize and document procedures to make data-driven decisions.
  • Support the warehouse project plan to ensure inventory systems and processes are utilized and executed to the standards set.
  • Support the buildout of the registration platform for the upcoming summer.


About You:

The Requirements
  • Bachelor’s degree, with additional graduate degree/certification relevant to the role viewed favorably.
  • Minimum 1-2 years relevant professional experience
  • Strong project management and people leadership skills required with a proven track record in the areas of collaboration, team building, and empathy.
  • Excellent professional writing skills required.
  • Strong oral communication and presentation skills.
  • Strong problem solving and critical thinking skills.
  • Proficiency in Microsoft Office and Google Suites and experience with office communication software (Slack, Zoom, etc.).
  • Project management skills in the areas of ideation, organization, development, and analysis.
  • Detail oriented with ability to prioritize and work on various projects simultaneously.
  • Ability to build relationships and collaborate with individuals from a diverse array of backgrounds both internally and externally, while showcasing excellent verbal and written communication skills.
  • Ability to work autonomously within a small team environment.
  • Interest in organizational culture initiatives and professional development.
