Operations and Data Associate

The McIntire School of Commerce seeks qualified applicants for an Operations and Data associate position in the Commerce Career and Corporate Engagement office.  The Operations and Data Associate has responsibility for managing student workers and supervising front desk needs, as well as for supporting programming operations, destinations data reporting, communications, and other office operations as needed all through the lens of exceptional customer service delivery.  The Operations and Data Associate will contribute to the overall goal of helping to promote efficiency and effectiveness throughout the CCCE team.

Key Responsibilities:
  • Management of Seasonal Student Workers and Supervision of Front Desk Activities:  Recruit, train and manage three to five work study students during fall and spring semesters; Tasks include serving a main backup for when student workers are no covering the front desk; checking the CCS mail inbox, answering phones, greeting students/faculty/visitors/employers as they come into the office, helping students schedule appointments, opening and closing the office during work hours
  • Program Management:  Provide event planning, logistical, and administrative support for CCCE recruiting-based programs and student career development programs; Manage student, alumni and employer relationships throughout process, providing excellent customer service and professional demeanor; Record events and participants in Salesforce and additional CRM platform and software systems including Handshake and Qualtrics
  • Systems Data Entry & Destinations Portfolio Assistance: Enter contacts and activity information into Salesforce upon request; Enter job/internship placement data into the CCS Destinations Portfolio System (or other reporting system) and follow-up with students and recent graduates as directed to obtain accurate and complete information
  • Communications: Update postings on MyMcIntire portal on daily basis and add events to McIntire Master Calendar; Design and distribute communications in a timely and consistent manner, ensuring accuracy and visual appeal of content
  • Ad-Hoc: Help support and organize operational and data activities in support of the CCCE office

Qualifications:
  • High School Diploma or equivalent with one year of relevant experience.  
  • Strong working knowledge of: Microsoft Office (especially Excel), Outlook, MailChimp and ease in learning and using new technology platforms
  • Ability to manage multiple tasks and employ effective planning and organizational skills; high degree of quality and attention to detail
  • Excellent verbal and written communication skills
  • Ability to interact effectively with others in a variety of situations and to understand and respond positively to internal and external customers (i.e. students, faculty and employers)
  • Familiarity with SharePoint, Salesforce, Handshake, and Microsoft Power BI is preferred

Anticipated hiring range: $43,000 - $48,000
