Senior Program Coordinator

Provides administrative, organizational, and project management services for the Department of Education’s professional development and certificate programs. Responsibilities include, but are not limited to:
·      Management of teaching events. Contributes to planning, content, speaker and program ideas/changes. Oversees accreditation. Prepares publicity; schedules location/online access, secures supplies, equipment,etc. Prepares handouts and ensures proper running of AV or online platform. Coordinates schedule; organizes materials, registration, fees, evaluation. Attends events to oversee administrative management. Serves as contact for event facilitators, participants, and special requests.
·      Serving as program and website point-person
·      Proofreading and writing program materials. Ensures accuracy of communication. Receives and routes correspondence, composes responses on administrative matters.
·      Maintenance of individualized learning plans and data, program information, files.
·      Record keeping systems, including highly sensitive data. Compiles/presents reports.
·      Coordination of committees that support Department. Takes and compiles notes.
·      Financial management of education program.
·      Budget reports of department expenses, including annual budget, grant applications and other reports for administrative, financial, research purposes. Collects and compiles data from diverse sources, performs calculations, resolves discrepancies, prepares analyses.
·      Scheduling appointments and maintaining Chair’s personal calendar. Reserves meeting locations/online access, prepares agenda and other materials. Prepares minutes as required.
·      Scheduling meetings for the Director of Professional Development in Education.
·      Daily administrative operations of department. Coverage for administrative functions. Prepares, verifies and monitors payroll and related records. Prepares periodic reports and documents to comply with hospital, regulatory, and/or funding agency requirements. Monitors employee review dates and other personnel actions; initiates required documents. Routes and tracks required administrative forms.
·      Department supply inventory and computer equipment. Authorizes purchase of standard departmental supplies and equipment repair services. Recommends purchase of equipment and non‑routine supplies. Serves as liaison to support service departments.
