The University of Nebraska at Omaha is seeking an
Administrative Associate
Academic Affairs
The Academic Affairs Associate provides administrative and project support for the Associate Vice Chancellor/Chief of Staff Academic Affairs, the Director of Academic Strategic Planning, and the Accreditation Coordinator. Key responsibilities include project support including meeting agendas and summaries as well as special events, assist with the placement, organization, and storage of electronic data and documents; build, manage, and maintain Academic Affairs databases; assist with website maintenance; and manage complex calendars.
This position must be knowledgeable and skilled at using university business systems such as PeopleSoft, PeopleAdmin, Firefly, eShop, and common office software such as Microsoft Outlook, Excel, Word and Access. Must be familiar with common social media applications. Must be able to communicate verbally, in writing, and on the web to the university and others on behalf of the associate vice chancellor in a clear and error free manner. Knowledge of University policies and procedures is required. Knowledge of operations outside the academic affairs office is essential in successfully meeting and anticipating the associate vice chancellor’s needs. A working knowledge of general business practices is necessary. This position is responsible for ensuring purchases are proper, valid and in compliance with university, federal, or sponsoring agency regulations, policies, and procedures. Must be detail-oriented, self-motivated, and able to adapt quickly and with confidence in a fast-paced environment.
Must be able to complete duties in a timely and accurate way with minimal supervision. Resolutions to problems may involve interpretation of information from multiple sources and collaboration with others in the department and/or University. Must be able to make basic decisions for the supported positions. Examples of decisions include selecting meeting times, responding to requests for meetings, identifying venues for meetings and events, or selecting purchase methods.
Excellent communication and interpersonal skills with the ability to communicate well at all levels of the organization are needed to be effective. The ability to treat everyone with respect and courtesy is essential. This position has regular contact with the administrators, faculty, staff and students at all levels of the University. Interactions require judgment and diplomacy to gain cooperation and accomplish goals. Interaction with the general public may also be required.
 
Required Qualifications:
·      Bachelor’s Degree.
·      May consider a combination of education and experience.
·      Excellent communication, analytical, organizational and interpersonal skills with the ability to communicate well at all levels of the organization are needed to be effective.
·      Experience with common office software (Microsoft Office suite). Familiarity with web and social media as a form of communication.
·      Demonstrated ability to process financial transactions.
·      Must be detail-oriented, self-motivated, and able to adapt quickly and with confidence in a fast-paced environment.
Salary Information:  Commensurate with Qualifications.
