Video Agency Office Assistant

Are you looking to get your foot in the door to a fun video advertising agency, be part of the team and grow towards a future career in Advertising and Video, going towards client management or a production coordinator role? If so, this Assistant job could be for you.

We are looking for a enthusiastic, razor-sharp, self motivated, detail oriented team player where no task is too small. You would be mainly working with our multi-tasking extraordinaire CEO to help get through countless emails and tasks to help boost his capacity. You will be updating our in-house staff and clients on his behalf using strong communication skills at times. Being detail oriented will be essential. Confidentiality and emotional maturity will be needed as you will be privy to a lot of company information. Secondarily you would be helping with updating our project management software and become a backup and assist on the producer side of our company as time allows.
This is a newly created position, our CEO needs additional help to take care of company needs, he is a creative who is organized and quite proficient in many areas. There will be some time in figuring out how best to work in tandem, could be more individual tasks given at first to allow him more focus on high level business needs and grow from there. Candidate will learn a great deal from this role, eventually leading to further opportunities within the company. 

Responsibilities:
  • Attend meetings and take detailed notes, providing action items lists
  • Prioritizing email correspondence, communicate directly and complete first drafts to aid speed in communications for CEO 
  • Updating information and organizing using our robust project management software
  • Plans, coordinates and ensures the CEO’s external schedule is followed and respected - knowledge of calendar and company shoots, keep him well informed of upcoming commitments and responsibilities, following up appropriately
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO
  • Prioritizes conflicting deadlines; handles matters quickly, proactively, and to completion
  • Maintains discretion and confidentiality when dealing with inside company knowledge and financial information
  • Drive CEO in company provided vehicle, at times so they can attend virtual meetings and attend to tasks - accompanying to local video shoots at times
  • Running company errands, answering phone messages, receiving packages
  • Arranging complex and detailed travel plans, from lose itineraries
  • Assisting other departments as needed

This is a challenging position within a fast-paced creative environment. The perfect candidate would be a quick, intuitive, tech savvy college graduate (or someone seeking a fresh start) looking to work hard at establishing a career on the client/producer side of a Video Marketing Agency.




Qualifications

  • Bachelor’s degree preferred or equivalent experience
  • Proven work ethic and experience in past assistant-type work
  • Knowledge of office type work and procedures
  • MS Office, Google Drive and English proficiency
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks with excellent attention to detail
  • High technical ability and Comfortable with the Mac Platform
  • Excellent verbal and written communications skills and follow through
  • Exceptional problem solving ability
  • Very strong interpersonal skills and the ability to build relationships
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Demonstrated ability to handle multiple priorities to meet deadlines in a fast paced environment using good time management skills.
  • Be adaptable to various competing demands, able to enjoy being in a creative environment and demonstrate the highest level of customer/client service and response
