Career Center Coordinator - Shevet Glaubach Center for Career Strategy & Professional Development

Reporting to the Executive Director of the Shevet Glaubach Center for Career Strategy and Professional Development (SGC), The Career Services Coordinator (CSC) is responsible for effectively managing all administrative support aspects of the Executive Director, including calendar management and coordination, as well as programmatic support to the Center, and acts as the first point of contact for phone and in-person matters on the Beren Campus. The CSC supports the Executive Director in coordinating and managing programs and special projects that are sponsored by the SGC, as well as to ensure the smooth functioning and departmental needs of the department. Regularly required to assist in delivery and resolution of complex and/or sensitive needs or problems independently. The ideal candidate will be pursuing a career services position and will be interested in growing in higher education.

Responsibilities:
• Effectively and efficiently performs “triage” of incoming contacts, prioritizing items of urgency,
identifying parties who handle the issue/problem/concern, making timely referrals, and
ensuring follow-up. Take initiative to refer questions and requests to the most appropriate
department or school
• Develop preparation of meetings materials. Gather important data from all departments and
create reports to present to the Executive Director
• Monitor budget and maintain records of expenses. May be asked to develop preliminary
budgets for projects
• Attend various weekly/bi-weekly/monthly meetings, and is responsible for taking minutes in an
effort to provide effective follow up and next steps. May attend meetings in place of SVP as well
• Handle confidential information which would have a negative impact on the University’s
operations, performance, or value if shared beyond its intended audience
• Coordinates a wide variety of projects and follows through with high-level officials within and
outside the organization
• Handle all processing of departmental staff job descriptions and salaries; oversee onboarding
of new hires.
• Receive, screen, evaluate and determine appropriate response to all written correspondence
received by the office.
• Track departmental vacation and sick time and approve timesheets bases on schedules.
• Complete new staff and student worker electronic paperwork as well as departing staff and
student workers; make requests for technological access for applicable platforms for new
hires. 

Experience and Educational Background:
• Bachelor’s Degree and 3-5 years of administrative experience. Equivalent combination of
experience, training and/or education will be considered. 

Skills and Competencies:
• Must possess strong knowledge of Microsoft Word, Excel and PowerPoint. May use other
software programs, databases, and applications as assigned.
• Must demonstrate discretion, confidentiality, good judgment, initiative and attention to detail.
• Must be able to effectively track time and resources to prioritize own work assignments.
• Must possess strong customer service, communication and organizational skills.
• May be required to work independently and produce quality work from conception to
completion on assigned projects

Scope of Responsibility: This position will supervise one administrative office coordinator.
