Job Overview
The Accounting Student Intern supports ICT SOS's Director of Operations with light bookkeeping and financial administrative tasks that keep the organization's day-to-day finances accurate and organized. This part-time internship (5–10 hours per week) is designed for a current accounting or finance student who wants hands-on experience with nonprofit bookkeeping while contributing to a mission-driven organization. The Director of Operations manages QuickBooks, payroll, accounts payable/receivable, grant financial reporting, and a monthly departmental budget review system across ICT SOS's departments — the intern's role is to take routine, recurring tasks off their plate so they can focus on reconciliation, reporting, and higher-level financial coordination. The ideal candidate is detail-oriented, dependable, and comfortable working with numbers, confidential financial information, and basic accounting software, under the guidance of the Director of Operations.
Responsibilities and Duties
Bookkeeping Support
• Assist with weekly revenue and expense entry in QuickBooks, keeping records current and accurate.
• Scan and upload receipts to QuickBooks on a weekly basis.
• Help code and categorize transactions consistent with ICT SOS's chart of accounts.
• Assist with maintaining the accounts payable calendar, including tracking bills and payment due dates.
• Support bank and credit card statement reconciliation under the Director of Operations’ supervision.
Financial Recordkeeping & Reporting
• Help prepare the one-page departmental budget summary reports used in monthly budget review meetings with department leads.
• Assist in tracking actuals vs. budget and flagging variances for the Director of Operations’ review.
• Support grant financial reporting and receipt tracking for active grants.
• Help maintain the weekly revenue tracker and revenue/expense gap spreadsheet.
• Assist in organizing financial documentation ahead of month-end close, the annual audit, and 990 preparation.
Administrative Support
• Provide general administrative support to the Director of Operations as capacity allows.
• Assist with organizing financial files and records, both digital and paper, to support audits or year-end reviews.
• Help maintain confidentiality and accuracy of sensitive financial and staffing information.
Learning & Professional Development
• Participate in regular check-ins with the Director of Operations to review work, ask questions, and build accounting skills.
• Take initiative to learn ICT SOS's financial systems, monthly budget review process, and nonprofit accounting basics.
Organization
• Maintain confidentiality of sensitive financial, donor, and staffing information at all times.
• Attend staff meetings, supervision, and training as required and as schedule allows.
Qualifications
• Currently enrolled in a degree program in Accounting, Finance, Business, or a related field.
• Basic understanding of bookkeeping or accounting principles (coursework counts — prior work experience is not required).
• Strong attention to detail and accuracy when working with numbers and financial data.
• Trustworthy and able to maintain strict confidentiality regarding financial and organizational information.
• Proficiency in Microsoft Office Suite and/or Google Workspace, particularly spreadsheets.
• Reliable, organized, and able to work independently on assigned tasks within a flexible weekly schedule.
• Must be able to pass a background check.
Preferred Qualifications
• Coursework or hands-on familiarity with QuickBooks or similar accounting software.
• Interest in nonprofit accounting, grant financial reporting, or nonprofit financial management.
• Prior experience with data entry, bookkeeping, or general office administration.

Working Conditions
The Accounting Student Intern works primarily in the office, with the option for some tasks to be completed remotely as approved by the Director of Operations.
• Must be able to sit for extended periods while performing data entry and computer-based tasks.
Hours
This is a part-time, non-exempt internship position of approximately 5–10 hours per week. Hours are flexible and can be scheduled around the intern's class schedule, with general availability during ICT SOS's regular business hours coordinated in advance with the Director of Operations.
