Position Overview
St. Hilda’s & St. Hugh’s School is seeking a welcoming, reliable, and detail-oriented Part-Time Front Desk & Security Associate to serve as the first point of contact for our school community each morning.
This position plays a critical role in creating a warm, welcoming experience for students, families, faculty, staff, and community members, while ensuring that all visitors and guests follow the school's established entry and security procedures.
The ideal candidate is personable and service-oriented, yet equally comfortable maintaining clear boundaries and enforcing front-desk protocols. This individual should be confident working independently, attentive to detail, proactive in identifying needs, and committed to maintaining a safe, secure, and welcoming school environment.
Key Responsibilities
Front Desk & School Welcome
- Serve as the face of St. Hilda’s & St. Hugh’s and provide a warm, professional, and welcoming first impression.
- Greet students, families, faculty, staff, visitors, and community members with courtesy and professionalism.
- Maintain a visible, attentive, and proactive presence at the front desk.
- Respond to questions and inquiries and direct individuals to the appropriate staff member or department.
- Provide a high level of customer service while maintaining appropriate school policies and boundaries.
Security & Visitor Management
- Ensure strict compliance with all front desk, visitor management, and security protocols.
- Monitor and manage access to the building in accordance with school procedures.
- Conduct required background checks for visitors and guests.
- Manage visitor check-in and check-out systems and ensure visitor procedures are followed consistently.
- Verify visitor information and provide appropriate identification/access materials as required.
- Exercise sound judgment when determining how to respond to questions, unexpected visitors, or situations requiring additional attention.
- Immediately escalate security concerns or unusual situations to the appropriate school personnel.
Administrative Support
- Provide administrative assistance to the School's operations team as needed.
- Support administrative projects and special assignments.
- Maintain accurate records, logs, and front desk documentation.
- Assist with routine office tasks and communications.
- Help ensure that the front desk area remains organized, professional, and prepared for the school day.
Qualifications & Skills
- Previous experience in reception, front desk, administrative support, security, hospitality, or a similar role preferred.
- Excellent interpersonal and communication skills.
- Warm, approachable, and professional demeanor.
- Strong attention to detail and organizational skills.
- Highly reliable and punctual.
- Ability to work independently and take initiative.
- Comfortable enforcing policies and procedures in a courteous but firm manner.
- Ability to maintain confidentiality and exercise discretion.
- Strong judgment and situational awareness.
- Ability to remain calm and professional in unexpected or challenging situations.
- Comfortable learning and using Veracross and administrative systems.
- Commitment to creating a safe, inclusive, and welcoming environment for the entire school community.
