What You'll Do:
- Manage patient communications: Answer incoming calls and respond to voicemails, text messages, emails, and patient portal messages promptly and professionally.
- Schedule patient care: Schedule appointments and help patients navigate the next steps in their care.
- Coordinate new patient referrals: Proactively contact patients referred to our practice and assist them with scheduling their initial appointments.
- Verify insurance benefits: Review eligibility and benefits and accurately document relevant coverage information.
- Manage prior authorizations: Submit and follow up on authorization requests and initiate the appeal process for denied services.
- Coordinate approved services: Contact patients when services are approved and assist with scheduling their treatment.
- Coordinate delivered inventory: Notify and schedule patients when ordered medical supplies or other patient-specific inventory arrives.
- Provide front desk support: Assist our reception team with patient-facing and administrative responsibilities as needed.
- Keep patients connected to their care: Follow up on outstanding items and help prevent patients from getting lost in the scheduling, referral, or authorization process.
- Collaborate with the team: Work closely with clinical, administrative, and front desk staff to maintain efficient workflows and an exceptional patient experience.
What We're Looking For:
- Bilingual Fluency (Spanish/English): Fluency in both Spanish and English is required.
- People-Focused: You genuinely enjoy interacting with people and take pride in delivering friendly, compassionate, and responsive service.
- Strong Communication Skills: You communicate clearly and professionally by phone, text, email, and in person.
- Highly Organized: You can manage multiple cases, messages, follow-ups, and deadlines without losing attention to detail.
- Strong Analytical & Problem-Solving Skills: You are comfortable reviewing information, identifying what needs to happen next, and taking initiative to move tasks forward.
- Fast-Paced & Productive: You can prioritize effectively and efficiently manage a high-volume workload while maintaining accuracy.
- Proactive & Accountable: You take ownership of your responsibilities, follow through on outstanding tasks, and don't need to be reminded of every next step.
- Collaborative: You enjoy working as part of a team and are willing to jump in where support is needed.
- Tech Savvy: Experience with electronic health records (EHR), insurance portals, patient communication platforms, and standard office software is a plus.
