Position Title: Development Assistant
Organization: Veteran Build Foundation
Reports To: CEO
Status: Part-time 10-15 hours per week

Compensation: $15-17 per hour

Position Summary

The Development Assistant plays a key role in supporting the mission of Veteran Build Foundation by providing administrative, project management, and development support across both veteran-focused real estate initiatives and nonprofit fundraising efforts. This position helps coordinate affordable housing and veteran-centered development projects, assists with grant writing and funding opportunities, maintains strong relationships with community partners, and provides executive-level administrative support to the Foundation's Board of Directors.

The ideal candidate is highly organized, detail-oriented, an excellent communicator, and passionate about serving veterans through innovative housing and community development initiatives.

Key Responsibilities

Real Estate Development Support

  • Assist in the coordination and management of veteran-focused real estate development projects from planning through completion.
  • Track project milestones, timelines, budgets, and deliverables.
  • Coordinate meetings with developers, contractors, consultants, government agencies, and community stakeholders.
  • Prepare project documentation, reports, presentations, and meeting materials.
  • Maintain organized records for development projects and regulatory documentation.
  • Monitor project deadlines and follow up with internal and external stakeholders as needed.

Nonprofit Development & Fundraising

  • Research, identify, and assist in preparing grant applications and funding proposals.
  • Support grant reporting requirements and maintain funding compliance documentation.
  • Track grant deadlines, submissions, reporting schedules, and funding opportunities.
  • Assist with donor stewardship activities and fundraising campaigns.
  • Maintain development databases and organize fundraising records.
  • Help coordinate fundraising events and community engagement initiatives.

Community & Partner Relations

  • Serve as a liaison between Veteran Build Foundation and community organizations, government agencies, veteran service organizations, donors, and strategic partners.
  • Foster positive relationships with stakeholders through timely communication and follow-up.
  • Coordinate partnership meetings and collaborative initiatives.
  • Represent the Foundation professionally at meetings, community events, and networking opportunities when appropriate.

Board & Executive Support

  • Manage and coordinate calendars for Board Members and executive leadership.
  • Schedule board meetings, committee meetings, and special events.
  • Prepare meeting agendas, board packets, minutes, and follow-up action items.
  • Coordinate meeting logistics, including virtual meeting platforms and meeting locations.
  • Maintain confidential board records and organizational documents.
  • Track board member assignments and committee activities.

Administrative Support

  • Maintain organizational files and records.
  • Draft correspondence, reports, and presentations.
  • Assist with special projects and organizational initiatives.
  • Support office operations and administrative functions as needed.
  • Ensure timely communication across internal teams and external partners.

Qualifications

  • Associate's or Bachelor's degree in Business Administration, Nonprofit Management, Real Estate, Public Administration, Communications, or a related field preferred.
  • Two or more years of experience in nonprofit administration, project coordination, real estate development, grant administration, or a related field preferred.
  • Experience with grant writing or grant management is an asset.
  • Strong organizational and project management skills.
  • Excellent written and verbal communication abilities.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Proficiency in Microsoft Office Suite and Google Workspace.
  • Experience with CRM, donor management, or project management software is considered an asset.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Valid driver's license and reliable transportation may be required.

Preferred Qualifications

  • Experience working with veterans, military families, or veteran-serving organizations.
  • Knowledge of affordable housing, community development, or real estate development processes.
  • Familiarity with nonprofit fundraising, grant compliance, and donor relations.
  • Experience supporting executive leadership or boards of directors.

Working Conditions

This position is primarily office-based with occasional travel to project sites, community meetings, fundraising events, and board meetings. Evening or occasional weekend work may be required to support Foundation events or board activities.
